Membership Terms & Conditions
Unstaffed Gym Hours & Safety Procedures
Unstaffed gym hours are typically between 22:00 and 06:00, with occasional periods during regular manned hours.
Emergency Procedures & First Aid
A regularly checked first aid kit is available for use, located at the front of the gym (left-hand corner within the lost property section).
If you use any first aid supplies, notify us via the group chat so we can restock and log the incident.
Fire Safety Procedures
In the event of a fire, immediately exit the gym using the nearest safe exit (main entrance or rear door by the Smith machine).
Leave all personal belongings behind and proceed to the designated muster point, approximately 40 metres in front of the building on the grassed area.
Call 999, request emergency services, and provide the gym’s name and postcode: BS11 8DP.

Memberships & Cancellations
Membership payments are taken on the 1st of every month via recurring card payment (CPA).
To cancel your rolling membership, you must submit your request via the Gymflow app:
Profile → Membership → Cancel My Membership
One full calendar month’s notice is required, starting from the 1st of the following month.
(Example: Cancel on 3rd August → Notice period starts 1st September → Membership ends 30th September.)
The minimum membership duration is two months, meaning at least two payments must be made before cancellation.
Any outstanding payments must be cleared before cancellation is processed.
Fixed & Minimum Term Contracts
Fixed-term memberships automatically switch to a monthly rolling contract at the same price once the contract ends.
Minimum-term contracts require full payment of the remaining months if cancelled early.
Membership Freezing
Memberships can be frozen for up to 3 months per year (January–December) for valid reasons, subject to gym manager approval.
All freeze requests must be emailed to [email protected].
Payments & Fees
Late payments exceeding one month will incur a £30 late fee.
If a payment fails, gym access will be restricted until outstanding fees are cleared.
Membership fees may be subject to increases, with a 30-day advance notice.
No refunds will be issued unless the gym is at fault.
Gym Rules & Conduct
Minimum age for membership is 16+, unless approved by the Gym Manager.
All personal trainers (PTs) are self-employed and must be booked directly.
The gym is not responsible for any payments made to PTs.
Allowing others to enter via the turnstile is strictly prohibited and will result in immediate membership termination.
Gym staff may refuse entry if a member:
Has an outstanding balance.
Appears under the influence of alcohol or drugs.
Engages in rude, aggressive, or inappropriate behaviour.
Poses a danger to themselves or others.
The gym reserves the right to terminate memberships with no refund if rules are violated.
Day passes provide access only for the date of purchase.
Facility Access & Closures
The gym may partially or fully close for maintenance or emergencies.
Efforts will be made to minimise disruptions and provide advance notice where possible.
No refunds will be issued for closures.
Health & Safety
Members should exercise within their limits and seek medical advice if needed.
If feeling unwell, stop exercising immediately and inform a staff member.
Disabilities & Adjustments:
If you have a disability, reasonable adjustments will be considered to support your access.
Members must return weights and equipment after use.
To maintain hygiene, all equipment must be sanitised after use with provided cleaning materials.
Any member seen leaving weights on the machines will be subject to a £20 penalty fee taken from their default card on their membership account and may permanently lose access to the gym.
Privacy & Data Protection
CCTV operates 24/7 for safety, security, and crime prevention.
Personal data will not be shared with third parties for marketing purposes.
In compliance with NHS Track & Trace, we may provide names, contact details, and visit times if legally required.
